What you get

Who is off next week? Will the sales team still have enough people in early August? Who has booked nothing for the summer, and who will end the leave year with a negative balance? The 2027 Team Leave Planner (UK) answers these questions in one Excel workbook, with no macros, built for owners and managers of small businesses (5 to 50 people).

For businesses

This workbook is sold to businesses for professional use: owners, managers, office managers and HR staff of small businesses.

    • How to use: the 10-minute start, colour key, limits, dated official sources.
    • Settings: jurisdiction (England and Wales, Scotland or Northern Ireland), working days of the week, leave year (a 'TO VERIFY' cell: set by the contract), summer period, the most people off at once per team (6 teams) and overall, absence types deducted from the balance or not.
    • Bank holidays: the official 2027 bank holidays for England and Wales, Scotland and Northern Ireland, including the 27 and 28 December substitute days (GOV.UK bank holidays data, read on 18 October 2026), a 'business closes' Yes/No column, 12 rows already set to 'Company' for your own closure days, and a Check column.
    • Team: up to 50 people; carried over and entitlement for the leave year (entered from the contract and payroll), taken, booked ahead, pending, remaining, remaining if pending requests are approved; alerts for a negative balance, a high unbooked balance, nothing booked in summer, a duplicate name.
    • Requests: up to 400 requests; days counted (holidays off and half days deducted), status Requested / Approved / Declined / Cancelled, checks: end before start, overlap (same person, same dates), team clash (peak number off in the team over the request compared with its limit), overall limit.
    • Calendar: the month of your choice, one row per person (L approved leave, ? pending, H holiday, WE weekend), people off per day in total and per team, a '!' alert on days above a limit.
    • Year view: a heat map of people off over the 12 months, days above a limit.
    • Long weekends: the 2027 long weekends worked out from your week and your bank holidays off (England and Wales, Monday to Friday: for example 4 days from 22 Mar give 10 days off; 4 days from 30 Mar give 10 days off), leave days to book, days off in a row, people already off.
    • Dashboard: 12 indicators, time off per month and per team, a chart, a 'To do' list of pending or flagged requests.
    • Days: the helper tab for the 365 days of 2027 (do not edit).
  • Team-Leave-Planner-2027-UK-SAMPLE.xlsx – the same workbook filled with a fictitious sample: 12 people, 3 teams, 40 requests, including 2 deliberate team clashes and 1 overlap, 3 pending requests. Every calculation is visible before you type your own data.
  • Team-Leave-Planner-2027-Guide-UK.pdf – a 13-page A4 guide: what the planner does and does not do, the 10-minute start, settings, the 2027 holidays and their sources, requests and checks, calendar and team clashes, long weekends, balances and alerts, dashboard, Google Sheets and printing, FAQ, sources and licence.

What it does not do

It does not work out statutory holiday entitlement: GOV.UK states that almost all workers are entitled to 5.6 weeks' paid holiday a year, and whether bank holidays are part of it depends on the contract. You enter each person's carry-over and entitlement. It does not replace payroll software or employment advice. It only holds the 2027 bank holidays.

Dated official sources

2027 bank holidays and substitute days for each jurisdiction, and the first 2028 substitute days: GOV.UK, www.gov.uk/bank-holidays.json, read on 18 October 2026 and again on 19 October 2026. Bank holidays and paid leave, 5.6 weeks and 28 days for a 5-day week: GOV.UK, Holiday entitlement, read on 18 October 2026.

Quality

No macros, no add-ins, no connections: your data stays in your file. Standard functions available in Excel 2016 and in Google Sheets (NETWORKDAYS.INTL, COUNTIFS, SUMIFS, SUMPRODUCT, INDEX, MATCH, IFERROR); no XLOOKUP, LET, FILTER or dynamic arrays. Drop-down lists, input validation, frozen panes, filters, conditional formatting, A4 print areas. Recalculated in Excel with 0 formula errors, on the sample and on the blank workbook, and checked against an independent recalculation (33,288 checks, 0 differences). Built for Excel. The functions used also exist in Google Sheets, but the import has not been tested: if you import it, check the flagged clashes, the drop-down lists, the calendar, the colours and the chart (the guide lists these checks).
